The Associate Practice Manager is responsible for administering, directing, and coordinating activities relating to the operation of the physician's office including financial key operational performance measures, scheduling, front and clinical operations and staffing, facility maintenance and inventory management, charge posting, and other administrative tasks. The Associate Practice Manager works with physician and practitioner staff to ensure efficient day-to-day operations and oversees all administrative and operations staff to ensure effective, compliant practice operations.
Responsibilities
• Manage day-to-day operations, ensuring a high level of patient service, schedule utilization, and accessibility.
• Develop and maintain strong relationships with healthcare providers and external partners. Communicate daily with Providers and external personnel as needed.
• Identify new revenue streams and collaborate with providers and business development to recruit new providers and cultivate business opportunities.
• Provide leadership within the team and communicate effectively in executive-level and large-group settings.
• Collaborate with other departments to coordinate patient care protocols and medication backorders.
• Organize teams and schedule, coordinate, and conduct monthly staff meetings to educate the staff on all new initiatives, and policies (in-person or virtual).
• Manage staff performance, including hiring, merit increases, promotions, corrective action, and termination decisions.
• Act as an information resource and ambassador to patients, the public, Physicians, and staff.
• Achieve patient collection targets and meet all budget and fiscal objectives, including P&L
• Ensure that patient privacy is being maintained according to HIPAA laws and that the office adheres to OSHA, ADA, and other regulatory requirements.
• Demonstrate excellent guest service to internal team members and patients.
• Perform other related duties as assigned.
Qualifications
• Bachelor's degree in healthcare management, Business administration, or a related field, required.
• 3+ years of experience in healthcare administration, clinical practice, community relations, or related field.
• Must have demonstrated a leadership position within the healthcare industry.
• Must have experience in staff mentoring, development and training.
• Proficiency in EMR systems and software applications, including Microsoft Office Suite.
• Familiarity with emergency policies and procedures (i.e., active shooter, Armstrong codes)
• Flexibility to travel regularly to all medical practices within their region.
• Excellent written and communication skills.
• Experience fostering a collaborative and high-performance culture among the management team.
• Ability to promote employee engagement and reduce turnover.
• Ability to work independently in a fast-paced, cross-functional environment.
Physical Demands
• Sedentary work. Exerting up to 10 pounds of force occasionally and/or negligible amount of force frequently or constantly to lift, carry, push, pull, or otherwise move objects. Repetitive motion. Substantial movements (motions) of the wrists, hands, and/or fingers. The worker must have close visual acuity to perform an activity such as: preparing and analyzing data and figures; transcribing; viewing a computer terminal; extensive reading. Ability to lift to 15 lbs. independently not to exceed 50 lbs. without help.
