Coordinator, ePMO Integration

The ePMO Integrations Coordinator is responsible for driving seamless project execution across our organization, playing a crucial role in the successful launch of new offices and initiatives. This dynamic position requires a proactive individual who excels at coordinating with leadership and cross-functional teams to establish and manage technical, clinical, and administrative milestones.

In this role, you will prepare detailed project plans that outline resource assignments, timelines, and key deliverables, ensuring that projects stay on track and within scope. You will also handle essential administrative tasks, including maintaining comprehensive project documentation and facilitating effective communication among team members.

As an integral part of our Enterprise Project Management Office, the ePMO Integrations Coordinator will leave a lasting impact on the overall success of our strategic initiatives, providing opportunities for growth and development within an innovative and rapidly expanding organization.


Essential Duties and Responsibilities include the following. Other duties may be assigned.

  • Collaborate with cross-functional teams to effectively coordinate technical, clinical, and administrative milestones throughout the integration process.
  • Align resources and oversee the planning and execution of project tasks to ensure timely delivery and compliance with organizational standards.
  • Provide essential support for administrative tasks, including but not limited to calendar management, travel arrangements, event coordination for clinic Go Live activities, and immediate integration assistance.
  • Prepare, organize, and distribute comprehensive project documentation, including agendas, training schedules, meeting notes, and status reports to ensure clear communication and tracking of project progress.
  • Maintain oversight of all project-related paperwork, ensuring that necessary materials are up-to-date, correctly completed, and appropriately stored.
  • Communicate any timeline changes and new information promptly to the team; monitor integration changes and adjust schedules as required to accommodate project dynamics.
  • Effectively manage multiple concurrent integrations by prioritizing tasks based on project needs and deadlines.
  • Timely escalate risks and issues to relevant stakeholders while managing their expectations and providing updates on project status.
  • Demonstrate exceptional customer service to both internal team members and patients, fostering a positive and collaborative environment.
  • Partner with the Enterprise Project Management Office (ePMO) to ensure adherence to organizational project processes and best practices.
  • Serve as a key liaison among the ePMO, clinical, technical, and administrative teams, as well as business departments, to ensure alignment on integration priorities and objectives.
  • Demonstrate excellent guest service to internal team members and patients.
  • Perform other related duties as assigned.

Qualifications

  • Associate's degree in health information technology, Computer Science, Information Systems, or a related field. A bachelor's is a plus
  • 2+ years of experience in project coordination or management within a healthcare or technical environment.
  • Utilize strong organizational skills to manage multiple projects efficiently while maintaining a keen attention to detail.
  • Communicate effectively with team members and stakeholders, fostering positive relationships through excellent interpersonal skills.
  • Proficiently use project management tools and software, including Smartsheet, to track project milestones, deliverables, and deadlines.
  • Demonstrate advanced proficiency in Microsoft Office applications (Word, Excel, PowerPoint, Outlook) to create and manage reports and presentations.
